Preparing Files

This is an extensive topic. Here are some basic pointers that cover problem areas that are
experienced regularly.

1. When using Adobe Illustrator, be sure that the application is in CMYK mode rather than
RGB mode. This setting, found under the “File” tab, is called “Document Color Mode”. All
colors are adversely affected if used in RGB mode and changed to CMYK at a later time.
Also, to maintain color control, images should be in CMYK mode before placing.

2. On the subject of file transferring, to protect fonts and image previews when emailing or
uploading to an FTP site, files should be “zipped” or “stuffed”. It is especially important to do
this with Mac files before transferring to a PC.

3. Furnishing a “hard copy” is the best way to communicate how a piece is expected to look.
It takes a little time to make a hard copy, but it can save a lot of time later. A hard copy
conveys a quick understanding of a project and gives a visual reference in case of font or
image problems. If it is not possible to furnish a hard copy, a low resolution PDF would be an
alternative source for comparison.

4. Submitting PDF files for print is very acceptable. There are just a few things that need to
be watched so all goes smoothly. The generic “Press Quality” in Acrobat Distiller works fine for creating a PDF. However, to ensure the PDF is more problem free,
use the PDF\X selection when Distilling for helpful troubleshooting. Include bleed
and crop marks and also check the document information in Acrobat to ensure that all fonts
are embedded.
